ELTELLECT Ltd ("ELTELLECT") takes the security of your data very seriously and has developed a policy and data protection framework which includes technical and organisational measures to ensure that your privacy is maintained. ELTELLECT's main purpose in processing your data is to provide information and/or services. This privacy policy explains our data processing practices and your choices regarding how your data is collected and used. The Privacy Policy in relation to your personal data is based on the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, commonly referred to as the General Data Protection Regulation (GDPR), as well as other relevant and applicable industry legislation.

Privacy policy during the selection process

ELTELLECT Ltd ("ELTELLECT") is committed to protecting your privacy during the recruitment process. It is important that ELTELLECT informs you about the processing of your personal data carried out by ELTELLECT in order to ensure that this process is transparent and understandable. In this case, the purpose of the processing of your data is : the recruitment process, including internships. This recruitment policy explains ELTELLECT's data processing techniques and your choices regarding how your data is collected and used.

This Recruitment Policy, with respect to your personal data, is based on the provisions of Regulation (EC) No 1049/2001 of the European Parliament and of the Council of 27 April 2016. 2016/679 (the "Regulation") and the Personal Data Protection Act, as well as other relevant, valid and applicable industry legislation.

During the recruitment process, ELTELLECT processes the information collected in the following situations:

      • When you apply for a vacancy: all your CV, application letter and other information provided in the application documents are processed by ELTELLECT. 
      • When you apply for a traineeship at ELTELLECT: ELTELLECT processes all the information included in your traineeship application. 
      • If you are applying for another ELTELLECT vacancy: ELTELLECT processes the information you provide, even if there is no specific vacancy available at the time. 
      • The information you provide may be processed during interviews or any other communication with ELTELLECT during the selection process. 
      • If ELTELLECT contacts you in cooperation with a recruitment company or specialist, or on the basis of professional information available in your profile on widely used job and career portals or databases such as LinkedIn, CV Online, or on the basis of a recommendation. 
      • If ELTELLECT receives an application from an employment promotion organisation in the framework of a cooperation, e.g. the National Employment Agency in the framework of an EU-funded project. 
      • Information provided during practical exercises. 
      • Feedback about you from people you have nominated.
      • Any other information you provide to ELTELLECT to apply for a job or traineeship. 

ELTELLECT does not request special categories of personal data (data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric data, health data or data concerning an individual's sex life or sexual orientation). However, if you choose to provide such information, ELTELLECT will process it in accordance with this Privacy Policy. 

In certain cases, if reasonably necessary, ELTELLECT may search for information about you, such as your skills, experience, qualifications or other publicly available information on social networks such as LinkedIn, Facebook, Instagram, X (Twitter), etc. 

ELTELLECT processes the information provided in order to evaluate the applications, select the most suitable candidate for the position and, where necessary, protect its legal interests. ELTELLECT processes your personal data in accordance with the applicable law and the processing has a legal basis. 

The legal basis for the processing of your personal data by ELTELLECT may be: 

      • Legal obligation: ELTELLECT may process your personal data if necessary to comply with legal obligations imposed on ELTELLECT by applicable law. For example, in complying with obligations relating to employment or data protection laws. 
      • Legitimate interest: ELTELLECT may process your personal data on the basis of its legitimate interests or the legitimate interests of third parties, provided that such processing does not infringe your rights and freedoms. This includes purposes such as the evaluation and selection of candidates for positions. 
      • Your consent: by applying for a vacancy or internship at ELTELLECT, you are deemed to have read and accepted the terms and conditions, including the processing of your personal data. If ELTELLECT requires your consent for specific processing activities, it will ask for your explicit consent and process your data accordingly. 

By applying for a vacancy or internship with us, ELTELLECT will assume that you have read and agreed to these terms and conditions.

ELTELLECT will retain and process your personal data for as long as there is a lawful basis for the processing based on the above purposes. Once the legal basis for processing has expired, ELTELLECT will delete your data. 

As regards the information you provide during the application and selection process for vacancies, ELTELLECT will keep this data for 2 years, or it may be deleted earlier if you withdraw your consent. 

However, ELTELLECT may retain certain copies of your personal information even after the legal basis for processing has expired in the following circumstances: 

      • Legal obligations:ELTELLECT may retain your data to comply with its legal obligations, such as obligations under employment or data protection laws. 
      • Dispute resolution:ELTELLECT may retain your data where necessary to resolve disputes, defend against legal claims or establish, exercise or defend legal rights. 
      • Fraud prevention and security: ELTELLECT may retain your data to prevent fraud and abuse, to ensure the security of its systems and operations and to protect its legitimate interests or those of third parties. 
      • Contractual obligations:ELTELLECT may retain your data where necessary to fulfil its contractual obligations with you or third parties. 

ELTELLECT ensures that any retention of your personal data is carried out in accordance with applicable laws and regulations and takes appropriate measures to protect your privacy and security. 

ELTELLECT may work with third party service providers to support the provision of its services, and in such cases personal information may be shared with these third parties. The following are examples of the third parties to which ELTELLECT may transfer your personal data:

      • Corporate group: ELTELLECT may share your personal data with affiliated companies, subsidiaries and parent companies that belong to the same corporate group as ELTELLECT.

      • Right to rectification: if you believe that your personal data is inaccurate or incomplete, you have the right to have it rectified or amended. 
      • Right to restriction of processing: you have the right to request restriction of the processing of your personal data in certain circumstances. This means that ELTELLECT will restrict the processing of your data for a specific purpose or period of time. 
      • Right to data portability: you have the right to receive your personal data in a structured, commonly used and machine-readable format and to transmit it to another data controller where this is technically feasible.

If you believe that ELTELLECT has unlawfully processed your personal data, you have the right to lodge a complaint with ELTELLECT using the contact details provided or with the relevant data protection supervisory authority. 

ELTELLECT may periodically update or revise the Privacy Policy during the selection process to ensure compliance with applicable law and to reflect any changes in our privacy practices. The updated policy will be effective as soon as it is posted on ELTELLECT's website.
